Compliance
Do we have to have a whistleblowing channel?
If you're a private-sector employer in the EU with 50 or more workers, yes, since 17 December 2023 at the latest. Public bodies and some regulated sectors are covered regardless of size. The guide has the detail.
Does Voxlibre make us compliant?
It gives you the channel the Directive describes: written and oral reporting, confidentiality, acknowledgement and feedback tracked against the 7-day and 3-month deadlines, and a record of every report. You still have to name the impartial person who handles reports, write the procedure, tell staff, and not retaliate. Software can't do those for you.
Does it cover our national law, not just the Directive?
The deadlines and channel requirements in the national acts follow the Directive closely. Some countries add requirements, such as specific record-keeping or language rules. Check your national act; we'd rather you did than took our word for it.
Can two or three companies in a group share one channel?
The Directive lets companies with 50 to 249 workers share resources for receiving reports. In Voxlibre each company has its own organisation and reporting link. Setting up two is two sign-ups.
Anonymity
Can a reporter be identified from a voice report?
Not from the voice itself, if the disguise did its job: the recording is pitch- and formant-shifted on their device before it's uploaded, and the original never leaves their phone or laptop. They can still be identified by what they say. The reporting page says exactly this before they record.
Do you log IP addresses?
No. Not on the reporting page, not on the follow-up page, not anywhere in the service. We've turned off the hosting provider's request logs for this reason.
Can the company see who reported?
Only if the reporter chose to give their name or contact details. The default is not to. The follow-up conversation works with a case number and key, not an identity.
What if the reporter loses the key?
Then they can't open the case again. We store only a hash of the key, so we can't recover it either. They can submit a new report that refers to the first one.
Can you, Voxlibre, read reports?
Technically, yes. Reports are encrypted at rest with a per-organisation key, and the service holds the master key so it can transcribe voice and show reports to your handlers. We don't read them, and we have no business reason to. But this is encryption at rest, not end to end, and we say so on the security page.
Using it
How do staff find the reporting page?
You share a link. Handbook, intranet, poster, email. There's no login for reporters and nothing to install.
What languages does it work in?
The reporting page and the handler app are in English. Reporters can write or speak in any language; voice reports are transcribed in the original language and translated into English. Spanish and French editions of this website exist; the app itself is English today.
Who gets notified when a report arrives?
Every handler on your team who has confirmed their email address. The email says a case needs attention and nothing else.
Can we have more than one handler?
Yes, as many as you like, at no extra cost. Invite them from the Team page as case handlers or administrators. Add at least one deputy, so reports still get answered within 7 days when you are away.
Do you support two-factor sign-in?
Yes. Handlers can use a passkey (fingerprint, face or device PIN) or an authenticator app, and an administrator can make it compulsory for the whole team.
Can reporters attach files?
Not yet. They can describe documents in writing or by voice, and you can ask for more detail through the case.
How long do you keep reports?
Until a handler deletes them. There's no automatic retention deletion yet, so set yourself a reminder to review closed cases against your retention policy.

No.
